Booking Terms & Conditions
Please read these terms carefully before confirming your trip with Community Trek.
8 min readBy making a booking or participating in a Community Trek trip, you confirm that you have read, understood, and accepted the following terms and conditions.
1. Booking & Confirmation
A booking is confirmed once Community Trek receives the required deposit or full payment, as specified in your trip proposal or booking confirmation.
The deposit amount and payment schedule may vary depending on the trip, season, accommodation, flights, permits, and other arrangements. Full payment must be completed by the deadline provided by Community Trek.
For last-minute bookings, full payment may be required at the time of booking.
2. Payment & Additional Charges
All trip prices are based on the services and inclusions stated in your confirmed itinerary.
Additional costs may arise from changes in government fees, permit charges, taxes, transportation costs, flight fares, exchange rates, or other circumstances beyond our control. Any such additional cost will be communicated to you as soon as reasonably possible.
Bank charges, credit-card processing fees, or international transfer charges, where applicable, are the responsibility of the traveler.
3. Cancellation & Refunds
Cancellation and refund conditions depend on the trip and the time of cancellation. Any non-refundable deposits, permits, tickets, accommodation, domestic flights, helicopter flights, or other services already purchased on your behalf may not be refundable.
If you cancel your trip, Community Trek will calculate any eligible refund after deducting applicable cancellation charges and non-refundable expenses.
No refund will normally be provided for unused services, voluntary changes, late arrival, early departure, or leaving the trip before completion.
Specific cancellation terms provided with your booking confirmation will take priority where they differ from these general conditions.
4. Itinerary Changes & Unforeseen Circumstances
Mountain travel is naturally affected by weather, trail conditions, transportation, flight schedules, local conditions, government regulations, and other factors.
Community Trek reserves the right to change, adjust, shorten, extend, or reroute an itinerary when reasonably necessary for safety, logistics, weather, or other circumstances beyond our control.
We will make every reasonable effort to provide the planned experience and keep travelers informed of significant changes. However, we cannot guarantee the exact itinerary, transportation, accommodation, flight schedule, or activities stated in advance.
Any additional costs resulting from circumstances beyond Community Trek's control may be payable by the traveler.
5. Flights, Helicopters & Transportation
Domestic flights and helicopter services in Nepal are particularly dependent on weather and operating conditions. Delays, cancellations, diversions, route changes, or additional waiting time may occur.
Community Trek will assist with alternative arrangements where possible, but cannot guarantee flight or helicopter schedules.
Any additional costs caused by weather-related cancellations, chartered flights, helicopter rescue, accommodation extensions, meals, transportation, or other unavoidable changes will normally be the responsibility of the traveler unless specifically covered by the booking.
6. Adventure Travel & Personal Responsibility
Trekking, mountaineering, hiking, rafting, wildlife activities, and travel in remote areas involve inherent risks.
These may include altitude-related problems, falls, injuries, illness, extreme weather, natural disasters, difficult terrain, road conditions, flight disruptions, and limited access to medical facilities.
Community Trek and its guides will take reasonable precautions and follow appropriate safety procedures. However, travelers understand that some risks cannot be completely eliminated.
Travelers are responsible for following the instructions of their guide and acting responsibly throughout the trip.
7. Health, Fitness & Altitude
Travelers must ensure that they are physically and mentally prepared for the activities and altitude involved in their chosen trip.
You should inform Community Trek before departure about any relevant medical, dietary, or mobility requirements that may affect your participation.
Our guides may recommend rest, changes to the itinerary, descent, evacuation, or other action if they believe your health or safety is at risk. Such decisions are made in the interest of the traveler and should be respected.
Community Trek cannot guarantee that a traveler will successfully complete a trek, reach a summit or base camp, or follow the original itinerary.
8. Travel Insurance & Emergency Evacuation
Comprehensive travel insurance is strongly recommended and may be mandatory for certain trips.
Your insurance should cover, where relevant:
- Medical treatment and hospitalization
- Emergency helicopter or other evacuation
- Trekking and adventure activities at the required altitude
- Trip cancellation or interruption
- Lost, stolen, or damaged baggage and personal belongings
- Flight delays or cancellations
Travelers are responsible for checking that their policy specifically covers their planned activities and maximum altitude.
If emergency evacuation or medical treatment is required, Community Trek will assist with coordination as far as reasonably possible. Unless specifically included in the booking or covered by insurance, the resulting costs are the traveler's responsibility.
9. Permits & Travel Documents
Travelers are responsible for providing accurate personal information and valid travel documents, including a passport and visa where required.
Community Trek will arrange applicable trekking permits and other required documentation based on the information provided by the traveler and the regulations in effect at the time of travel.
Certain areas, including restricted trekking regions such as Kanchenjunga, may require special permits, licensed guides, and additional government requirements.
Permit fees, regulations, entry requirements, and government procedures may change without prior notice. Any additional mandatory government charges arising after booking may be payable by the traveler.
10. Accommodation, Meals & Services
Accommodation, meals, transportation, guides, porters, and other services will be provided according to the inclusions stated in your confirmed itinerary.
In remote mountain areas, facilities may be basic and can vary considerably from city or standard hotel services.
Community Trek cannot guarantee specific rooms, views, menus, brands, or facilities where these depend on availability or local operating conditions.
11. Baggage & Personal Belongings
Travelers are responsible for their personal belongings throughout the trip.
Community Trek, its guides, porters, accommodation providers, transport operators, and other suppliers cannot be held responsible for loss, theft, or damage to personal property except where liability is established under applicable law.
Travelers should keep passports, money, valuables, electronics, and important documents secure.
12. Guides, Porters & Local Staff
Community Trek works with experienced, licensed guides and local support staff.
Travelers are expected to treat guides, porters, drivers, hosts, and local communities with respect.
Any serious behavior that threatens the safety, dignity, or well-being of other travelers, staff, or local people may result in removal from the trip without refund.
13. Responsible Travel & Local Communities
Community Trek is committed to responsible and respectful travel.
Travelers are expected to respect local cultures, traditions, religious sites, wildlife, communities, and the natural environment.
Please avoid littering, damaging cultural or natural sites, or behaving in a way that causes unnecessary disturbance to local communities.
14. Photography & Promotional Use
During Community Trek trips, our guides or team members may take photographs or videos for trip documentation and promotional purposes.
With your participation in a Community Trek trip, you acknowledge that photographs or videos in which you appear may be used by Community Trek on its website, social media, brochures, and other promotional materials to promote our travel experiences.
We will make reasonable efforts to respect travelers who do not wish to be photographed. If you do not want your identifiable photograph or video to be used for promotional purposes, please inform Community Trek before or during the trip.
15. Complaints
If you experience a problem during your trip, please inform your guide, trip leader, or Community Trek representative as soon as possible.
Giving us the opportunity to resolve an issue while the trip is in progress allows us to take appropriate action.
Complaints should normally be raised during the trip or as soon as reasonably possible after its completion.
16. Privacy & Personal Information
Community Trek collects personal information necessary to arrange and operate your trip, including your name, contact details, passport information, emergency contact details, and other information required for permits, transportation, accommodation, insurance assistance, or other travel arrangements.
We use this information to provide our services, communicate important trip information, meet government and permit requirements, and improve our services.
We do not sell or intentionally share your personal information for unrelated commercial purposes. Information may be shared with relevant service providers or authorities when necessary to operate your trip or meet legal requirements.
17. Liability
Community Trek will take reasonable care in arranging and operating your trip. However, we cannot accept responsibility for loss, delay, injury, illness, death, inconvenience, or additional expenses arising from circumstances beyond our reasonable control, including severe weather, natural disasters, landslides, avalanches, political unrest, strikes, road closures, flight disruptions, government decisions, epidemics, or other unforeseen events.
Nothing in these terms is intended to exclude or limit liability where such exclusion or limitation is not permitted by applicable law.
18. Force Majeure
Community Trek shall not be considered responsible for failure or delay in providing services when caused by events beyond our reasonable control.
Such events may include natural disasters, extreme weather, war, civil unrest, strikes, epidemics, government restrictions, road or trail closures, transportation disruptions, or other extraordinary circumstances.
We will make reasonable efforts to assist travelers and find practical alternatives whenever possible.
19. Acceptance of These Terms
By confirming your booking with Community Trek, you acknowledge that you have read, understood, and accepted these Booking Terms & Conditions.
You also acknowledge that adventure travel involves inherent risks and that itineraries may need to change due to circumstances beyond our control.
